Wedding Contract – Terms and Conditions


20% of the agreed booking fee is payable on the signing of the agreement. Balance to be paid no later than 28 days before the day of the wedding

All prices quoted on here are a guide price based on the assumption that the Bridal Preparation, Wedding Service and Reception and Evening Function are in the same location ( or max 5 miles apart ). Additional charges may apply where travel and geography exceeds this or out of pocket expenses occur i.e. public car parks.

Prices also assume a geography coverage of a 40 mile radius of B1 post code – Birmingham centre

Greater Geography coverage or an increased number of locations will be priced on application

Coverage for the Deluxe Package assumes a maximum attendance time of 9 hours. Time overruns or early starts will be priced appropriately on application. ( NOTE this includes natural break and travel times – but does not include time for travel to and travel from the first and last venue respectively).

A £30 surcharge will be levied for every hour ( or part thereof ) where we are asked to be in attendance after 9:00

This will be doubled if two shooters are still in attendance


The parties agree to provide a suitable hot meal and drinks for the photographer(s) where the length of attendance exceeds five hours.

This is to be provided to coincide with the main wedding breakfast to ensure the photographer(s) are available to come back into the room ready for your speeches.

Please note – we DO NOT take photos during the actual serving of your wedding breakfast unless we are seated and served with the wedding party and will take additional candid material in between courses where appropriate.

PLEASE NOTE – where food has not been provided by the venue on the day, but it should have been as part of the agreed terms and conditions, we do reserve the right to order food at our discretion and charge back to the client after the event.

Likewise, if the venue does not facilitate additional food, we may need to leave your wedding to obtain food from another local venue – again charging back after the event. In this instance we cannot be held accountable if key photography moments of your wedding are missed because we are not on site at the time.


Whilst an outline consultation will be done at time of booking, a more formal consultation will be conducted typically 4/6 weeks before your big day. This will give you the opportunity to talk through your day with us, go through anything specific you may require and provide an opportunity to chat through our style, what to expect on the day and to go through some demo albums.

This will generally be conducted at the studio – Ariane Photography Studio, 14 Ariane, Lichfield Road Industrial Estate, Tamworth, B79 7XF. An additional charge may be levied for a home or location visit.

Best endeavours will be made to fit in with you, however in peak periods time slots may be more restricted.

In exceptional circumstances, consultations can be done over the phone or other communications media.

Consultations will generally last around 1.25 hours and we do ask that early notification is given if for any reason you are unable to make your time slot.


The parties and the Photographers consent to happily cooperate and communicate with each other to achieve the best possible result within the understanding of this contract. We recommend that the wedding photographer(s) be provided with a helper (usually the best man) who will point out key individuals to be photographed. The photographer(s ) may also require the assistance of the best man in organizing family groups. The parties also agree to give the photographer(s) sufficient warning of key events at the wedding to give the photographer time to prepare e.g. Bouquet throwing, cutting the cake, speeches etc. Please note that not all guests at wedding like having their photo taken. In such cases the wedding photographer(s) will use his discretion but cannot be held responsible for a lack of photos of these people.


Our shooting schedule, style of working and experience are designed to achieve a great set of wedding photos for the parties, accomplished with good humour and enjoyed by all concerned. Both the parties and the Photographers therefore agree that punctuality and cheerful cooperation are essential to producing outstanding photographic results. In cases where the wedding does not run on time,  we cannot guarantee to take our normal set of photos although in such circumstances we will do our absolute best to compensate.

Please also note that if you are having a videographer who is looking to set up and stage his own footage that doesn’t fit in with the workflow of the photographer, it is your responsibility to ensure additional time is allowed for the process.


All your guests will have digital cameras and all your guests will want to photograph the parties. In the spirit of cheerful cooperation the parties agree to give the Photographers precedence over your guests in order to take the photographs required for the wedding services described above. We cannot be held liable for a lack of wedding photos if guests taking their own photos of the parties have continually interrupted the photographer’s work.

When undertaking your “couple’s” photos, it is the one part of the day that we do ask that we can work with you on our own and not have other wedding guests still in attendance.

We do reserve the right to refuse to shoot if other professional photography firms have been engaged on the same wedding without prior discussion and agreement.


Note the Photographers are sometimes limited by rules imposed by registrars, ministers and venue management as to what can and cannot be done. For example some ministers insist that no flash photography is allowed, and others will insist that the Photographers shoot from a specific location and in extreme situations – some venues wont allow any photography at all during the Service. In such circumstances the parties agree to accept the technical limitations that may be imposed on the equipment used. We advise the parties to make themselves aware of the rules of the venue concerned and if necessary negotiate with the personnel concerned.


English Copyright Law states that the copyright of photographs remains with the photographer. The Photographers grant the parties permission to make unlimited copies of the images under the following conditions. The images taken by the Photographers are for personal use by the parties and their friends and relatives. Selling, Publication or any Commercial use of the photographs is not allowed without prior written permission from the Photographers.

A separate charge of £250 is made for copyright purchase of the full set of images.

A separate charge of £200 is made for the RAW files from the day


The parties grant the Photographers and its legal representatives, heirs and assigns, the irrevocable and unlimited consent to use the photographs of the parties for editorial, competition, advertising and any other purpose and in any manner, to alter the photographs without restriction; and to copyright the images. The parties hereby release the Photographers and its legal representatives, heirs and assigns from all liability and claims in connection with the images.


If a photographer is too ill or becomes injured and cannot supply the wedding services specified above the Photographers try to book a replacement wedding photographer. Under normal circumstances a second photographer from the Photographers is there for the day anyway and this photographer will then shoot the day on his/her own. If both photographers are unavailable and a replacement photographer cannot be found then liability is limited to a refund of any payments received.

The Photographers have working methods in place to prevent the loss or damage to your images. However, there is the unlikely possibility that images may be lost, stolen or destroyed for reasons in or beyond our control. In these circumstances liability is limited to the return of fees paid for the service or part there of according to the percentage of images supplied.

We will always work with clients to ensure we provide the maximum variety of images for your day in accordance with our normal flow of wedding capture. In the event that specific images are requested, we will work with wedding clients to ensure to the best of our ability these images are successfully recorded. We cannot be help liable if for any reason a specific image requested can cannot be taken and presented due to factors either inside our outside of our control.


In the event of the parties cancelling the wedding for whatever reason the booking fee is non refundable. It will be considered as liquidated damages to the Photographers.

If for any reasons our serviced are cancelled within 28 days of your wedding date, payment in full is still required.


In the normal course of business, we undertake to have your set of images back to you for first viewing within 28 working days of your wedding. ( please note we do not count Saturdays, Sundays and Bank Holidays ). If you require images in a shorter timescale, we may be able to assist subject to workflows and an additional charge. PLEASE NOTE – this time period may well be exceeded during peak season months.

In the interests of all wedding clients, we do process images in a strict calendar order from the wedding date.

Where image only packages are purchased, the number of images quoted is a “guide” not an exact number. When preparing your wedding images, we will select, edit and include the most appropriate flow of images to fully represent your day. PLEASE NOTE – we DO NOT count images therefore if your package is for 300 but after editing we have for example 278 or 386 – that’s the number that will be included.

PLEASE NOTE – we DO NOT provide a service where you can view all raw camera images captured on the day for you to select from. ( please see section above for copyright law for release of additional RAW images ).

Once you have indicted you are happy with the images and instruct us to burn your disks and this can generally take a further 7/10 days before they are ready.

Once ready, we will advise you accordingly and you can arrange to collect them or we can post them out to you ( subject to an additional £6.95 charge for first class recorded and tracked delivery).

At this stage you will also be given a voucher code for you to order your prints directly online. Whilst the value of the code will be for the value of the prints detailed in your package – you can use this code to choose other sizes and formats if you wish. PLEASE NOTE once ordered these are shipped directly to you and will be subject to a delivery charge from the supplier depending on the size and formats ordered.

PLEASE NOTE – whilst all disks are posted first class and tracked, we cannot guarantee delivery time slots or the reliability of royal mail. If you require them couriered for a set time, this can be arranged – again subject to an additional charge.


In the normal course of business, your original images and presentation set will be held by the company for a period of 24 months after your wedding date. We will notify you nearer the time before this final set are removed from our records to give you the option of either purchasing a further set for your own back up purposes or providing offsite continued storage on our secure back up drives.


The evening studio is a separate contract to the main booking. Please be advised of additional considerations:

– The evening studio requires a minimum of a 4m x 4m space to be set up. It is your responsibility to consult with the venue over a suitable location. Consideration needs to be given to through traffic and blocking of fire doors etc. If on attending a venue after booking we find that we are not able to set up due to space restrictions – no refund will be made.

– Any damage to props / equipment caused by your guests will be invoiced to you after the event.

– Any non returned props will also be invoiced after the event.

– Children are more than welcome to use the evening studio but must be supervised by an appropriate adult at all times. PLEASE NOTE that in the interests of health and safety we do reserve the right to close the studio down if children are left unattended.

– Whilst generally the evening studio is run for a 2 hour manned period, we reserve the right to reduce that time if we feel that circumstances at the event dictate it being appropriate to close it early.

– We will seek to close the evening studio down at key moment in the evening to ensure we cover key moments like first dance and cake cut. Please be advised that sometimes the volume of additional images included in your general evening section of the wedding day may be reduced by virtue of the fact we are busy with the studio and therefore cant get into the main room. Likewise, if the evening studio is quiet, we may use down time to capture additional candid moments in the main room.

– Whilst generally we will make prints available for your guests to purchase on the night, if for any reason we are unable to – an email link will be made available generally within 48 working hours
